Appendix 13: Guidance – Hot Work Permit Procedure

Information to be given to contractors

It is a requirement of the Council’s insurers, that building work involving the use of blow lamps, cutting and welding torches and other heat producing equipment should only be undertaken following completion of a Hot Work Permit certificate. The aim is to minimise the potential for a fire to occur during or following the use of such equipment.

As a contractor for the Council you have the potential to be involved with ‘Hot Work’ and enclosed for your information and future action is a batch of Hot Work Permits.  Further copies can be obtained on request. Henceforth it is a requirement that you must complete a Hot Work Permit certificate on each occasion and for each operation involving hot work in all Council buildings.

The Hot Work Permit certificate must be kept on site for completion by your representative at the appropriate time and for inspection (if requested) by the Contract Administrator during the course of the work. The completed certificate must then be submitted with your invoice or request for interim payment. On some occasions more than one permit will be involved.

All three sections of the permit must be completed and signed by your site representative.  Information is required prior to the hot work starting and involves the completion of a precautionary checklist. Following completion of your work your representative must certify that the work area and adjacent area were inspected after 30 minutes and 60 minutes and found to be fire safe.
